Job Posting: Fractional Finance and Administrative Manager (Nashville-Based Hybrid Position)

Reports to: Executive Director 

Hours: Part-Time, Contract/Fractional (20-25 hours per week) - Hybrid Remote/Nashville, TN 

JOB DESCRIPTION: 

The Fractional Finance and Administrative Manager at the Tennessee Innocence Project is a highly organized and detail-oriented financial professional who has a passion for cause-based work. This fractional role is perfect for someone who wears many hats and can efficiently manage key financial and administrative responsibilities on a part-time basis. The Finance and Administrative Manager serves as the financial backbone of the organization while also managing critical administrative functions and supporting the Executive Director. The ideal candidate is a proactive problem solver who thrives in managing complex financial responsibilities remotely and on-site, and is committed to supporting the mission of freeing the wrongfully convicted across Tennessee.

WHO WE ARE: 

Launched in February 2019 as the state's first full-time innocence organization, the Tennessee Innocence Project (TIP) is a 501c3 nonprofit law firm working to free the wrongfully convicted across the state of Tennessee. With offices in Nashville and Memphis, TIP works to investigate and litigate claims of actual innocence on behalf of incarcerated Tennesseans. To date, more than 3,400 people have lost more than 31,000 years due to wrongful convictions in the United States. 

JOB TASKS: 

As TIP's Fractional Finance and Administrative Manager, you serve as the financial backbone of the Tennessee Innocence Project while managing key administrative functions across both Nashville and Memphis offices. This role is responsible for comprehensive financial management, budget oversight, audit coordination, and essential support functions on a part-time basis. The ideal candidate is a proactive problem solver who thrives in managing complex financial responsibilities in a flexible, hybrid work environment and is committed to supporting the mission of freeing the wrongfully convicted across Tennessee. 

Financial Management 

  • Collaborate with Executive Director on annual budget development, monitoring, and reporting processes 

  • Conduct monthly bank reconciliations to ensure accurate financial records 

  • Oversee accounts payable and receivable functions, ensuring timely processing and accuracy 

  • Manage cash flow analysis and forecasting to support organizational planning 

  • Prepare monthly, quarterly, and annual financial reports for leadership and board of directors 

  • Coordinate and manage the annual audit process, serving as primary liaison with external auditors 

  • Ensure compliance with all financial policies, procedures, and regulatory requirements 

  • Oversee QuickBooks management, including advanced reporting and system maintenance 

  • Manage grant financial reporting and compliance requirements 

  • Develop and implement internal financial controls and procedures 

Audit Management 

  • Coordinate and manage the annual audit process, serving as primary liaison with external auditors 

  • Prepare comprehensive audit documentation, supporting schedules, and financial workpapers 

  • Manage audit timelines, coordinate fieldwork, and respond to auditor information requests 

  • Present audit findings and recommendations to Executive Director and board of directors 

  • Implement audit recommendations and maintain follow-up documentation 

  • Ensure all audit deliverables and deadlines are met in accordance with organizational requirements 

Operations Management 

  • Ensure compliance with employment law, nonprofit regulations, and operational requirements 

Human Resources Support 

  • Collaborate with Executive Director on employee onboarding and offboarding processes 

  • Maintain personnel files 

Communication Management 

  • Serve as primary point of contact for financial and operational matters with internal/external stakeholders 

  • Manage vendor communications and financial correspondence 

  • Coordinate with accounting consultants and external financial partners 

Development Team Support 

  • Assist with financial aspects of fundraising events and campaigns 

  • Support grant financial reporting and stewardship requirements 

  • Provide financial data and reports for development team initiatives 

QUALIFICATIONS: 

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field 

  • Minimum of 3-5 years of experience in nonprofit finance, operations management, or bookkeeping roles 

  • Strong experience working in fractional or part-time capacity with proven ability to manage responsibilities efficiently 

  • Strong experience with bank reconciliations and financial statement preparation 

  • Experience coordinating audit processes and working with external auditors 

  • Advanced proficiency in QuickBooks and Microsoft Office Suite 

  • Proficiency with remote work tools and cloud-based financial systems 

  • Knowledge of nonprofit accounting principles and fund accounting 

  • Experience with budget development, monitoring, and financial reporting 

  • Familiarity with HR basics and employment compliance requirements 

  • Excellent organizational and multitasking skills with strong attention to detail 

  • Strong written and verbal communication skills 

  • Ability to maintain confidentiality and handle sensitive financial information 

  • Detail-oriented with strong analytical and problem-solving abilities 

  • Flexibility to work both remotely and on-site in Nashville as needed 

COMPENSATION & WORK ARRANGEMENT: 

This is a Part-Time Contract/Fractional position with the Tennessee Innocence Project. Compensation range: $35-45 per hour, depending on education and experience. 

Work Schedule: Flexible scheduling with core collaboration hours and periodic on-site presence in Nashville as needed for meetings, audit coordination, and operational oversight.

Job Posting: Director of Development (Nashville-Based Position)

Reports to: Executive Director

Hours: Full Time, Salaried ($70K - $85K, depending on education and experience)

ABOUT THE ROLE:

The Tennessee Innocence Project's Director of Development will be a vital member of the TIP team, driving the strategic direction of our fundraising and development program efforts. The Director of Development is a creative and goal-oriented individual with a proven background in grants and major gifts, someone who thrives in a hands-on environment and plays a pivotal role in all aspects of development.

Leading a dedicated team of two development associates, the Director of Development will have the support and infrastructure necessary to achieve ambitious fundraising goals while building meaningful donor relationships. The position offers the opportunity to mentor junior staff and collaborate across departments to maximize impact.

The Director of Development is responsible for executing a comprehensive development plan that supports TIP's mission. This plan includes creating an overall strategy in collaboration with leadership, overseeing donor stewardship initiatives, and managing annual events and campaigns.

ESSENTIAL FUNCTIONS:

Leadership and Management

  • Oversee and direct the implementation of the annual development plan

  • Design strategies and tactics for growth and success across all areas of fundraising

  • Lead and mentor a team of two development associates, fostering professional growth and ensuring collaborative achievement of fundraising goals

  • Monitor fundraising results and consistently report progress to Executive Director; participate in Board Meetings and Committees as requested

  • Work closely with board members to support their individual giving and leverage their networks for peer-to-peer fundraising opportunities

  • Collaborate internally to develop budgets, monitor and forecast revenue and expenses and drive financial results

  • Lead quantitative and qualitative evaluation of fundraising outcomes

Annual Giving, Major Gifts, Corporate Giving and Grants

  • ·Collaborate with the Executive Director in the creation of a strategy for a large, sustained base of annual individual donors

  • Connect organizational mission and results to investors' philanthropic goals and ambitions

  • Collaborate with the Executive Director to design and drive strategies for annual giving program, including online giving and direct mail

  • Direct and execute a strong, consistent, relational major gifts program and develop and implement a comprehensive planned giving strategy, including legacy giving programs, bequest cultivation, and donor education initiatives

  • In collaboration with the Executive Director secure support for TIP initiatives through creative, innovative events and giving opportunities

  • Develop, in partnership with Executive Director the annual strategy and goals for philanthropic events

  • Plan and execute fundraising events such as galas, auctions, and donor recognition events

  • Manage staff and contractors in event logistics and administration, ensuring impeccable event logistics & results

  • Develop a comprehensive corporate giving strategy to engage corporations in supporting TIP initiatives

  • In collaboration with the Executive Director secure support for TIP initiatives through creative, innovative events and giving opportunities

  • In collaboration with the Executive Director and Leadership Team develop annual grant strategy and goals that build and sustain relationships with private foundations

  • Oversee all grant management activities, including reviewing and approving grant applications before submission to the Executive Director, ensuring alignment with organizational priorities and funder guidelines

  • Manage grant reporting timelines and requirements, working with program staff to gather impact data and ensure compliance with all funder obligations

  • Collaborate with staff, in coordination with grant writer, to refine grant-seeking strategies, cultivate funders, review grant applications and finalize reports

  • Collaborate with the Executive Director and staff to cultivate funders and review grant applications and reports

  • Develop and track proposals, outcomes, and reporting requirements for all grants

  • Supervise communications and marketing efforts related to donor engagement, impact storytelling, and recognition, ensuring consistent messaging across all development touchpoints

  • Manage the implementation of CRM and oversee staff responsible and process for data entry and gift processing

SUPERVISION:

The Director of Development supervises two associate team members, including oversight of communications and marketing functions. The Director of Development also manages relationships with various contracted resources and consultants as needed to support development initiatives.
